Privacy Policy

This policy applies to the Submatic service — the app and website at submatic.ai. It covers everyone with an account and everyone browsing the site. If we ever change how we handle your data in a meaningful way, we will update this page and tell you.

We collect only what the service needs to work:

• Account details. Your name, email address, and sign-in identifiers, managed by our authentication provider, Clerk.
• Content you upload. Video and audio files, the transcripts we generate from them, your subtitle projects, and any custom fonts you upload on paid plans.
• Usage and billing. Which plan you are on, how many processing minutes you have used, subscription status, and limited crypto transaction details needed to confirm a purchase. Card details go directly to Stripe and never touch our servers.
• Technical data. Standard logs — IP address, browser type, request timing — used for security, debugging, and rate limiting. We also keep the first public page that brought you to Submatic, the referring site and path (never its query), and any explicit UTM campaign labels so a signup or checkout can be tied back to that landing page.

We use your data to run the service: transcribing your audio, rendering captions into your video, metering your plan’s minutes, processing payments, answering support requests, and keeping the service secure.

Two things we do not do: we do not sell your data to anyone, and we do not use your videos, audio, or transcripts to train AI models — ours or anyone else’s.

A project — the uploaded video, its transcript and subtitle edits, and any rendered exports — is kept for your plan’s project-history window: 7 days on Free, 30 on Starter, 90 on Pro, 365 on Studio, counted from your last activity on it. That window is what lets you come back, re-edit, and re-download without reprocessing. When it lapses, the project and all of its files are deleted from our servers automatically.

You don’t have to wait for the window: deleting a project removes its files immediately. In-progress edits are also cached in your own browser’s local storage until you save them; that copy never leaves your device.

Custom fonts you upload stay in your account’s font library until you remove them or delete your account.

A small set of providers process data on our behalf, each only for its job:

• Clerk — accounts and sign-in.
• Stripe — payments and subscriptions.
• NOWPayments — optional prepaid crypto payments.
• Cloudflare — file storage and delivery.
• Modal — the GPU compute that runs transcription and rendering.

We don’t share your content with anyone else unless the law requires it.

We use essential cookies to keep you signed in. A separate first-party acquisition cookie remembers the public page and campaign that first brought you to Submatic for up to 90 days, so we can measure whether that visit leads to signup or checkout. It is not used for ad targeting or shared with ad networks, and we run no third-party trackers. Your browser’s local storage holds unsaved subtitle edits and interface preferences.

You can access, correct, export, or delete your data. Deleting your account removes your projects and personal information from our systems, subject to the retention windows above. Depending on where you live (for example, the EU or California), you may have additional statutory rights — we honor those too.

For any privacy request, write to privacy@submatic.ai and we will respond within 30 days.

All traffic is encrypted in transit. Uploads and downloads use short-lived, single-purpose signed URLs, and access to production systems is limited to the people who operate the service. No system is perfectly secure, but if a breach affects your data we will notify you without undue delay.

Submatic is not directed at children under 13, and we do not knowingly collect their data. If you believe a child has created an account, contact us and we will delete it.
